When booking, you agree to the following terms and conditions.
1. Client Cancellation Policy
1.1 All booking cancellations must be submitted and confirmed via our website to avoid misunderstandings.
1.2 Once a booking is made, the cancellation terms stated on LuxvoyVoyage.com will apply.
2. Luxvoy Cancellation Policy
2.1 Cancellations must be made at least 30 days prior to the trip start date. No cash or card refunds will be issued; payments will be refunded as Luxvoy Credits, redeemable for future bookings.
2.2 Luxvoy acts solely as an agent for Service Providers. All arrangements (accommodation, guides, transfers, and experiences) are subject to final confirmation by the Service Provider. If a service cannot be confirmed, Luxvoy may arrange an alternative of similar standard and value.
2.3 Force Majeure: Luxvoy is not liable for failures or delays caused by events beyond reasonable control, including war, terrorism, civil unrest, natural disasters, or government restrictions. We will make reasonable efforts to resume operations promptly.
2.4 In such cases, Luxvoy may offer an alternative itinerary or service. If declined, a full refund of the paid amount will be issued. Clients agree that no claims for inconvenience, loss of holiday time, or additional travel expenses may be made.
2.5 Luxvoy reserves the right to cancel group tours up to 14 days prior to departure due to insufficient participation.
2.6 Luxvoy is not responsible for incidental costs or losses incurred due to cancellations.
3. COVID-19 Related Cancellations
3.1 Refunds may be issued for government-issued travel bans from the Client’s country of departure to the destination or vice versa. Refunds are pro-rata for unused services; no compensation is provided for inconvenience, lost vacation time, or travel expenses.
3.2 Personal circumstances, including COVID-19 infection or reluctance to travel, are subject to the General Cancellation Policy (Section 2.1).
3.3 Luxvoy may recommend alternative arrangements or routes. If declined, a full refund will be issued.
3.4 All arrangements remain subject to Service Provider confirmation. Group tours may be canceled 14 days prior if minimum participation is not met.
3.5 Luxvoy is not responsible for incidental costs resulting from such cancellations.
4. Travel Documents
Clients must ensure passports are valid for at least six months beyond the return date and possess all required visas, vaccination records, and other travel documents.
5. Travel Insurance
5.1 Comprehensive travel insurance is strongly recommended for protection against cancellations, medical emergencies, lost baggage, or activity disruptions.
5.2 Luxvoy does not act as a carrier and is not liable for loss, damage, or personal injury.
6. Changes by Luxvoy
Tour details may be updated due to circumstances beyond our control. Itineraries may be adjusted to ensure safety, comfort, or satisfaction. Such changes do not entitle clients to refunds or compensation.
7. Pricing Policy
7.1 Prices include accommodation, selected activities, and specified local transport as listed in the itinerary.
7.2 Prices exclude airfare, visa fees, travel insurance, meals not listed, tips, and personal expenses.
8. Liability
8.1 Luxvoy acts as an intermediary for airlines, hotels, and other Service Providers and is not liable for injury, loss, delay, or expenses from circumstances beyond its control (weather, political unrest, immigration issues).
8.2 Clients are responsible for losses due to failure to comply with instructions (check-in times, meeting points, etc.).
8.3 Luxvoy may modify itineraries or withdraw participants if safety or comfort of others is at risk.
8.4 Community Hosts or Trip Leaders are independent contractors; Luxvoy is not liable for their actions or decisions.
9. Complaints and Claims
Issues during travel should be reported immediately to your Trip Leader or local partner. Unresolved matters must be submitted in writing within 3 days of return, including booking reference and details. Late reports may affect resolution.
10. Indemnification
Clients acknowledge inherent travel risks. Luxvoy, its employees, and agents are not liable for death, injury, or property loss unless caused by proven negligence. Luxvoy may remove participants whose behavior is detrimental to others.
11. Disclaimer and Waiver
To the fullest extent permitted by law, clients release Luxvoy and its affiliates from liability for personal injury, illness, death, property loss, financial loss, or travel delays. Participation is voluntary and at the client’s own risk.
12. Participant Responsibilities
12.1 Comply with safety instructions and act responsibly.
12.2 Assess personal physical and mental readiness for activities.
12.3 Safeguard personal belongings; Luxvoy is not liable for theft or loss.
12.4 Acknowledge risks from outdoor activities, weather, and third-party actions.
13. Independent Contractors
Community Leaders, Guides, and Trip Coordinators are independent contractors, not Luxvoy employees. Luxvoy is not responsible for their actions, advice, or omissions.
14. Marketing and Media
Participation implies consent for photographs and videos to be used for marketing. Requests to remove images will be honored. Limited personal information may be shared with travel partners to facilitate bookings.
15. Payment Terms & Refunds
15.1 A partial payment is required at booking; the remaining balance is due 30 days before trip start.
15.2 Add-ons or additional services will be automatically charged on the date specified at purchase.
15.3 Cancellations must be made at least 30 days prior. Payments will be refunded as Luxvoy Credits for future bookings; no cash or card refunds.
16. Amendments
Luxvoy reserves the right to modify these Terms & Conditions at any time. These Terms supplement those of third-party providers such as airlines, hotels, and travel partners.
